Data points are values that are passed from FormFlow - Forms that can be used to automate procedures in a Workflow stage. For example, a Check Amount data point can be defined for a check approval track. When a form is submitted to a track, the track will request the Check Amount value from the calling application. These can then be used in Stage Rules to automatically approve or reject the document.
To pass a specific piece of data from FormFlow to Workflow to be used in automated procedures or email templates, a data point must be created in Workflow. Then, in Formflow's Workflow Configuration option, the data point is configured at the same time as its Workflow track, allowing the data point to be passed to Workflow when a document is submitted to that track.
Add a data point to a Workflow track
Data points are added to a specific Workflow track. If needed, a track can have multiple data points. If you want a data point to be on multiple Workflow tracks, the data point will need to be added to each track.
Data points must be added and defined to a Workflow track before documents are added to the track.
Log into the campus portal as an administrator.
Navigate to the EX FormFlow - Workflow feature.
Click the Admin this Portlet link. The Admin Portlet page appears.
Click on the track you would like to add the data point to. The track's details appear.
From the Workflow toolbar, click Track Settings. Example. The Track Settings pop-up appears.
Click on the Data Points tab.
Enter in the Tag Name and Description (optional) in the corresponding fields. The Description is used for administrative purposes. Example
If you wish to readily display the data point's value in a reviewer's list of documents needing approval, click the Show in Grid checkbox. Example
To add the data point to the Workflow track, click the Add button. You can add multiple data points to a Workflow track if needed.
Once you are done adding data points to the Workflow track, click Save.
